HOTEL FAQs
Q: What are the advantages of staying at SEAHO hotels?
A:
1. Take advantage of registering for the conference and reserving a room at an SEAHO hotel, directly from the SEAHO website.
2. Prepayment of your entire stay is not required when using the SEAHO housing bureau, unlike third party travel and hotel websites.
3. No penalties apply if reservations are cancelled in a timely manner.
4. You can rely on chosen SEAHO conference hotels for quality and safety.
5. You will find networking easier and enjoyable because the SEAHO hotels have a large percentage of rooms dedicated to SEAHO participants.
Q: Does the conference registration rate include the price of a hotel room?
A: No. Registration rates and hotel rates are separate.
Q: What is attrition and why do hotels charge attrition?
A: Attrition clauses are a part of standard hotel contracts and are used to ensure that organizations
fulfill their contracted obligations. Attrition fees are applied when a conference group cannot fill at
least 80%, or an otherwise agreed upon percentage, of the contracted number of rooms. SEAHO is responsible
for using a minimum number of sleeping rooms per contract and if those minimums are not met, attrition
penalties, meeting room and exhibit hall charges will apply. SEAHO asks its members to book rooms within
"the block", the contracted number of rooms, to avoid paying attrition charges. Attrition fees are compensation
to the hotel for the rooms that might have been sold had they not been removed from the market by contract.
Q: How many hotel rooms are booked through contracts?
A: SEAHO blocks roughly 1,200 sleeping rooms using past attendance and registration figures from recent
conferences to help determine the usage of future sleeping rooms; along with popularity of the destination
and projections for attendance. SEAHO works with the properties to create flexibility within the contracts
so adjustments can be made as the conference draws closer.
Q: How far in advance does SEAHO book hotel contracts?
A: Because of the large number of sleeping and meeting rooms needed each day, finding facilities that
fit SEAHO's needs is difficult; many of these sites are in high demand. SEAHO contracts with hotels and
convention centers up to three years in advance, allowing SEAHO to remove rooms from hotel inventory to
guarantee enough hotel rooms for conference attendees.
Q: Can I get a cheaper room somewhere in the area?
A: Each year SEAHO makes an effort to book its conferences in convenient locations that can provide
the extensive meeting and exhibit space we need. As well as provide our attendees with various price
points to accommodate their needs. SEAHO has negotiated the best rate possible for the convenience,
quality and size of facilities required to fulfill our extensive meeting needs. While less expensive hotel
rooms may be available, compare it to an SEAHO contracted hotel to insure that your expectations are met.
Many hotels are located further from the conference site, lack certain amenities, or are not in the best
locations. Please keep in mind that booking inside the SEAHO conference hotels helps SEAHO meet its
contracted obligations and that in turn helps SEAHO keep meeting registration fees low.
UK-LSU GAME
On Tuesday, February 20 at 9:00 pm, the University of Kentucky men's basketball team will be hosting Louisiana State University in Rupp Arena, part of the Lexington Convention Center. Obviously, the game will result in large crowds in the Hyatt and Lexington Convention Center, creating congestion in the lobby areas as well as parking lots.
The Hyatt Regency advises SEAHO Conference participants that they will not be able to hold parking spaces, as traffic will start to become heavy 2-3 hours before the game. If you are planning on arriving on Tuesday, the Hyatt encourages you to arrive in the late afternoon if possible. If you arrive during the pre-game period or after the game has started, inform the parking attendants that you are checking into the hotel. You will be able to park as long as spaces are available. We apologize for any inconvenience this causes.
If SEAHO Conference participants are interested in attending the basketball game, please contact the UK Ticket Office at 1-800-928-2287 or www.ukathletics.com.
