Why should I be concerned
about Enrollment options?
On Bb6, instructors can no longer handle enrollments
themselves. One big advantage of the new setup is that it supports automatic
enrollment of students, based on their student and course data in the
Student Information System (SIS) database. The daily feed from SIS
started August 3, 2004. Registrations, Drops, and Adds will be handled
automatically as the feed from SIS is updated each day.
However, it is important to note that you may need to opt out of
automatic enrollment, which is the default arrangement, when you
request a new or renewed course on the Bb6 server. If you will have
even one student whose course enrollment information will be
delayed
getting into SIS, you will need to make sure that your Blackboard
course has been set so that students enroll themselves - they will log onto
Bb6 using an active directory account, search for your class under Courses, and
click the
Enroll button. (Just as they
did on Blackboard 5.6.)
In what cases do I need to make sure that my course is set for self-enrollment?
- If you have one or more students whose fees are not paid up by the
registrar's deadline.
- If your students are in a Continuing Education course or a staff
training course.
-
If your course starts more than a few weeks before the first day
of classes as listed on UK's standard academic calendar.
-
If you have one or more students who are new to the Graduate
School, since their activation into SIS is often delayed.
-
If you have one or more students who for any reason are not
known to the SIS database in a timely way, but who will eventually be in
the SIS database.
In all of the above cases, automatic enrollment into Bb courses will
fail to enroll one or more of your students - or will drop them, in
the case of unpaid fees, until such fees are paid in full.
In short, automatic
enrollment will work well for the typical undergraduate course and some graduate
courses where students
register in advance and for whom fees are paid in a timely way.
However, for any class where one or more of your students will be in
some special situation, such as in the examples above, your Bb course
must be set so that all students enroll themselves.
In rare
instances, if you will have just a few students who will never be
in SIS - for example, students from other universities participating
in a consortium-based course - our SysAdmin can enroll those
individuals manually, after you send in their names and Active
Directory account userids; the rest of your students can still be
enrolled automatically from the SIS database.
I'm not sure which enrollment option to choose. What should I do now?
- If you would like to discuss your particular situation or to weigh
your options, one of us from the Teaching and Academic Support Center
(TASC) would be pleased to arrange a meeting or confer by phone;
please send email to Bbsupport@lsv.uky.edu with some times that might
work for you.
- If you are in doubt, you should make sure that we have set your
course so students enroll themselves, since it will be nearly
impossible to make a change once classes start.
- When you fill out your course renewal request form, be sure to
request self-enrollment in the comments box (or by answering
checkboxes provided).
What are the consequences if my course starts out with automatic
enrollment from SIS and needs to be reset for self-enrollment after
classes begin?
When this scenario happened at the beginning of the 2003 Summer 8-week
session (before the options were clear to instructors) it was very
disruptive. Students already enrolled from the automatic SIS feed
had to be completely removed from the course, including any grades
they might have earned so far, and then had to re-enroll themselves
individually. It also created a huge backlog of work for the Bb System
Administrator. We all want to prevent the re-occurrence of this
scenario if at all possible!
How can I get my TAs, co-instructors, or visiting experts enrolled in my course?
Since instructors can no longer enroll co-instructors,TAs,
or visiting experts in a course, the IT Customer Service Center can
handle this for you.
Please send to helpdesk@uky.edu four
pieces of information: names, active directory account userids, your course title
or
ID (include
section number if relevant), and the semester. If they do not already have an
Active
Directory account, follow the instructions for getting an account in the Active
Directory Account FAQ.
How do my students complete
the self-Enroll process?
If your class has been set to self-enrollment,
direct students who need help to the Self-Enrollment
FAQ. The process is short and simple, but slightly counter-intuitive.
