Registration Information

If you are a panelist or discussant, you should have been sent an invitation letter by email from Professor Liu Xiaoyuan, indicating the scheduling and title of the panel in which your paper is included and of any additional discussant duties we assigned you if you indicated you would be willing to help with that. If you have not received such communication from us, please contact Program Chair Xiaoyuan Liu at xyliu.virginia@gmail.com and we will address the issue immediately.


The full panel schedule is now on the conference website (click Conference Program on the left). The basic schedule information (times) will change very little, but room assignments and specific participant information will inevitably change as the registration process continues. We will make every effort to preserve the presentation times we have assigned you, but if it becomes necessary to change your time, we will contact you immediately and be as accommodating as possible. The print program will be produced based on information gathered by the December 15 deadline, but the online version will continue to be updated up to the conference weekend.


Payment Options


Our online payment platform makes payment convenient and fast, and it also gives us an opportunity to gather important information about your stay, such as your needs and selections for overnight accommodation and whether you will be attending catered events, so that we can make sure we have an accurate idea of attendance numbers.


Although we had a problem with the transactions over the first weekend (Dec. 5-7), none of those who received error messages were charged and the transactions were cancelled. The online payment system is now functioning normally.

Fee Structure Overview


The following information may be helpful if you find the online payment platform confusing.

1.     SEC-AAS dues ($10 for student presenters and $20 for all other presenters) provide financial support for the regional association and are not used for conference expenses. All paper presenters are expected to pay Association dues. Thus it is a separate item on the payment menu so that we can separately keep track of who has paid.

2.     The standard conference fee is $85 at the early bird rate, which gives you access to panels and all catered events. The student rate is $40. The deadline for the early bird rate is Dec. 15, which is coming up pretty soon, so the online platform is the safest way to ensure you receive it, but I provide instructions for mailing checks below if you prefer.

3.     After Dec. 15, the regular conference rate goes up to $100, including on-site. Student participants’ conference fee, however, remains at $40 even after the deadline.

4.     Those who are coming from outside UVA as discussants, but who are not giving papers, are expected to register at the regular rate, but payment of Association dues is optional.

5.     Guests, friends and family members may get Panels Only access for $40, but must pay the full registration fee ($85/$100) if they want to participate in the catered events as well.

Alternative Payment Option

Some of you may prefer not to use the online payment system; if that is the case, please send email to this effect to Local Arrangements Chair Charles A. Laughlin (cal5m@eservices.virginia.edu), so that we can collect the additional information we need from you about your itinerary.  

SEC-AAS Membership Dues can be paid in the form of a check payable to SEC/AAS, and sent to Dr. Charlotte Beahan, Department of History, 6-B Faculty Hall, Murray State University, Murray, KY 42071-3341, using the posted membership form.

Conference fees can be paid in the form of a check as well, payable to the University of Virginia, and mailed to 2015 SEC-AAS c/o Margaret VanEkeren, Department of East Asian Languages, Literatures and Cultures, PO Box 400781, University of Virginia, Charlottesville, VA 22904. Checks must be postmarked on or before Dec. 15to qualify for the early bird discount.



If you plan on flying into Charlottesville, the closest airport is CHO.  It is about 20 minutes away from the University and the surrounding hotels, but there are numerous taxi, shuttle, and car rental services available at the airport.


If you are driving to Charlottesville, the closest parking facility is the (fee-based) Newcomb Hall ramp off Emmett Street, but you can also get free parking at University Hall next to John Paul Jones Arena about a mile north of Grounds, also off Emmett Street/Route 29. There is normally shuttle service from the UHall lots, but it may be reduced on the holiday weekend. The designated hotels are variously in walking distance or a short shuttle ride from the buildings on UVA Grounds where the conference events will be taking place. A map of the environs, suggested restaurants and other attractions will be included in the conference program and materials distributed at Registration.
