CCD93 CD-ROM DISC - Readme.1st
This README.1ST file describes procedures for installing the
CCD93 program, as well as the structure of this compact disc.
The Common Core of Data (CCD93) CD-ROM Disc (years 1988-89 to
1993-94) includes data from the following data files:
School Universe SY90/91-93/94
Agency Universe SY89/90-93/94 merged with
Census Fiscal (F33) data FY90-93
State Nonfiscal SY88/89-93/94 merged with
State Fiscal FY88-93
The search and retrieval interface requires that users enter search criteria
in specific fields on either the School, Agency, or State database search
screen, in order to limit the number of records for review to a select
group. These records (matching the search criteria) can be displayed
in summary or detail format, and can be printed. Specific fields may be
chosen and data exported to be used with other software packages. There
are a number of export formats available that can be used with
spreadsheets, databases, word processing packages, and statistical software
packages.
The "How to Use" chapter in the jewel box guide provides a quick explanation
of the functionality of the CD-ROM disc. For a more detailed explanation
of each of the menu options, refer to the Help on the CD-ROM disc or
the Installation and Technical User Guide. There is a version of the
User Guide available for printing. It is called CDGUIDE.DOC and was created
in Word 6.0. This file is located in the root directory of the CD-ROM
disc.
INSTALLATION
The following are instructions on how to install this program from WINDOWS.
1. From the file menu in the Program Manager choose Run. Type
the CD-ROM drive letter followed by colon and then type
"setup".
For example: D:\setup
2. Hit the OK button or press the Enter key.
3. The dialogue box specifies the amount of disk space
needed, the disk space available and the default directory.
4. You can change the directory name by editing the existing
one. The directory name should contain the full path
including the drive letter followed by ":".
Note: If the CD-ROM reader is on a network, the CCD93 program may not be
able to locate the CD-ROM installation. In this situation, the CCD93
program will present the message "Error opening database" when any
one database is started. To correct this problem, the appropriate
.SET file (State, Agency, or School) located in the CCD93 directory,
or whatever directory was chosen during the installation must be
edited. Open the appropriate .SET file (State, Agency, or School)
in an editor and in every line that references the DataPath, such as;
STRING DataPath="0:\\CCD93\\State\\"
you must replace the "0" with the letter of the CD-ROM drive.
Example: If the CD-ROM is attached to the F:\ drive on the network,
dataPath in the CCD.SET file should read:
STRING DataPath="F:\\CCD93\\State\\"
Remember that all lines referencing the DataPath
(in all three databases) must be altered in this way.
Tip: We recommend placing the "mscdex" command line before the "smartdrv"
command line in the AUTOEXEC.BAT file. This may enhance the speed of
data retrieval from the CD-ROM.
Note: A message will appear during installation to add " SHARE.EXE
/L:500" to your AUTOEXEC.BAT file. Disregard the message if this line
already exists in the AUTOEXEC.BAT, or if you have installed either
Access 2.0 or Windows for Workgroups. In the latter cases, VSHARE.386
will be added to the AUTOEXEC.BAT and no problems should be
encountered when running the CCD93 CD-ROM program.
The WINDOWS installation program creates three (3) CCD93 icons (State, Agency,
and School) and one (1) Table Generator icon in the program group called
"Common Core of Data 93". Select a database and click on its corresponding
icon to start the program. The setup program also creates a Table Generator
icon. Clicking on this icon will start up the Table Generator.
The CCD93 DISC requires approximately 3.0 MB of free disk space. An
additional 4.0 MB of disk space is required for programs and files.
Note: When performing a seach query, there may be times when no data is
reported in the display screens. This may be due to a couple of
factors. In certain cases, information was not reported in the
surveys. In other cases, there is no information for the requested
year. An example would be when selecting Agency dropouts. If a year
before 1992 is selected, there will be no data because dropout
statistics were not included before 1992.

The Financial Accounting Resource Disk
The Financial Accounting Resource Disk (an electronic version of three linked
documents: National Public Education Financial Survey, The National Public
Education Financial Survey Instruction Booklet, and The Financial Accounting
for Local and State School Systems 1990 guide) is a new addition to the CCD93
CD-ROM. This version of the Financial Accounting Resource Disk is strictly a
Prototype. Any comments or opinions regarding the Financial Accounting
Resource Disk prototype are welcome and should be sent to
NCESINFO@INET.ED.GOV (Internet).
The purpose of the Financial Accounting Resource Disk is to assist school
districts in preparing their comprehensive annual financial reports (CAFRs)
that are submitted to the respective State departments of Education and to
ensure that education fiscal data can be reported in a comprehensive and
uniform manner.
This Financial Accounting Resource Disk is designed to allow the user quick
and easy access to the National Public Education Financial Survey, The
National Public Education Financial Survey Instruction Booklet, and the
Financial Accounting for Local and State School Systems 1990 guide. By
starting with the Financial Survey, the user is able to "drill down",
through the use of "jumps", into the Instruction booklet and the Accounting
Guide for more in-depth explanations and instructions. This will allow the
user to quickly find the answers needed in order to expedite the completion of
the financial survey.
The Financial Accounting Resource Disk is in the Portable Document File
(.pdf) format. To view the Financial Accounting Resource Disk, the user must
first install the Adobe Acrobat Reader which supports the (.pdf) format. To
install the Adobe Acrobat Reader from the Program Manager, choose Run from
the File menu, type (Your CD-ROM Drive Letter):\ADOBERDR\ACROREAD.EXE and
press Enter.
To view the Financial Accounting Resource Disk from the Adobe Acrobat Reader,
choose open from the File menu, and select the file COVER.PDF from the
following directory, (Your CD-ROM drive):\HANDBOOK\.
