Important Information
Policies and Procedures
The planning for special events takes time and preparation. Please give us enough time to plan your event by adhering to the following guidelines:
- We will offer you a 10% discount if you have a signed contract at least 30 days in advance of your event. (90 days in advance for events over 400)
- Guaranteed guest count is due 72 hours before the event. We will otherwise prepare to the amount on the original contract. For buffets‚ we prepare 5% over.
- All payments and requisitions must be made 48 hours in advance of the event. You must also cancel your event 48 hours in advance to receive a full refund.
- Rain sites are requested for all outdoor events. Rain calls shall be made a minimum of 3 hours before an event.
- Ask how you can receive a 30% discount for picking up bulk items!
Room and Table Reservations
For room reservations in the Student Center‚ please contact Rhonda King at (859) 257–5781 before placing your order with us. For events where building entrance is limited‚ please make necessary arrangements with that building to provide us access at least 1 hour in advance of the event to ensure a prompt start time. If tables are needed for your event on campus (except in the Student Center)‚ please contact the Physical Plant at (859) 257–4878.
Self–Serve Drops & Set–ups
We are responsible for the delivery of food and set–up of the event. We are not responsible for trash disposal or clean–up of any events that are served on disposable items. Clients will be responsible for any equipment damaged during their event.
Payment
University events using a departmental account will need to submit an authorized Catering Requisition at least 72 hours (three days) prior to the event. Events being paid by any other means will need to be paid in full‚ 24 hours (one day) prior to the event. There is a $25 delivery fee to events off UK campus. No delivery fees for UK campus or Bluegrass Community and Technical College.

Serving Time
Service time will range from 1½ hours for buffets and station receptions‚ to 2 hours for served meals. UK Catering will return 3 hours after the event on self–serve drops to pick–up any equipment. In order to comply with all Health Department regulations‚ all food must be discarded within 2 hours of the start of the event. UK Catering reserves the right to stop food service for lengthy events due to quality issues and customer safety. Please make us aware of any food allergies of your guests.
Unused Food
To prevent mishandling of potentially hazardous foods‚ the Health Department requires that no food is to ever leave an event. These rules are in compliance with the Commonwealth of Kentucky health regulations‚ and will be enforced for your safety and the safety of your guests.
