How do I create a job requisition?

Login to the Online Employment System (OES) with your username and password. Under "Create Requisition," select one of three methods:

  • From Template - creates a job requisition from a template with pre-existing data ready to edit.
  • From Previous - creates a job requisition from a previous posting.
  • From Scratch - creates a job from a blank form.

Can I use different minimum qualifications than those listed on the JAQ?

No, minimum qualifications for job postings must match those listed on the JAQ. If you prefer higher education or experience, you may note that in “Preferred Education/Experience” field on the job requisition.

How many supplemental questions can I ask?

The maximum number of supplemental questions is five (5). Only two (2) may be open-ended (those that require essay or long-text answers) and the remaining three (3) must be closed ended (those that require clicking on specific options for the answers).

When will my job be posted?

Once the requisition has been created via the OES and submitted electronically, it will be assigned to an employment specialist who will review before posting. Jobs submitted by 10:00 AM will be posted the next business day.

How long must a job be posted on the OES?

At least seven (7) calendar days, which must include five (5) business days. The position may be posted longer if advertised in an outside source or you may request an extended deadline. If you are re-posting a position you can request it be posted for less than the seven (7) calendar days.

What is IEBC?

IEBC is "Internal Employee Being Considered." If you are interested in a person who is currently working in your department and either paid by your department or Temporary Employment, you may use the IEBC statement in the job summary. This alerts other applicants that an internal person is being considered for this position. The position is still required to post the minimum of 7 calendar days (including the 5 business days). However, you are not required to hire the internal applicant if a more qualified applicant applies.

Can I change the questions without re-posting?

Once the position has been posted to the Online Employment System (OES) changes cannot be made. Supplemental questions cannot be changed once a job requisition is posted. Should you need to change the supplemental questions, a new requisition must be created and submitted to post for seven (7) business days.

I have a job posted, but cannot see the applicants. Why?

The employment specialists will contact each hiring official after the job posting's closing date to discuss the applicant pool and determine the applicants referred. If your position has closed and you have not heard from an employment specialist, please contact Employment at (859) 257-9555, press 2.

How soon should I contact the applicants referred?

Generally, applicants who are selected for interviews should expect to be contacted within 2 - 4 weeks after a job posting has closed. You may begin contacting applicants for your job posting as soon as they have been referred to you by an employment specialist.

Do I have to interview all applicants referred?

You are not required to interview all of the applicants referred. However, you are required to provide valid not hired reasons for all referred applicants.

Can I review a current or past UK employee's file?

Yes, to view the personnel file contact an employment specialist to set up a meeting.
