Coordinating Committee Meeting

Meeting Notes - August 21, 2006

Campus Management Update
Michelle Nordin gave a presentation on the need for changing the Campus Management timeline. Following Michelle’s report, Gene Williams asked questions about contingencies to assure that academic processes could be completed. He voiced particular concern about student registration.

There are several options for contingency planning:

  • Wait until November to decide if SIS should be kept operational. At that point, make a determination about whether the colleges will enter the course schedule in SIS or in SAP.
  • Wait until November to decide if SIS should be kept operational. Have the colleges enter the schedule in SAP. Determine in February if the IRIS Project Team should enter the schedule in SIS.
  • Decide now to keep the mainframe and SIS operational. The IRIS Project Team would enter the schedule in SIS in February/March in order to have a back-up to SAP.

Dean Sudharshan asked what would happen if the University began with the new registration system and had a problem that necessitated going back to SIS. Assuming the team was unable to address the problems encountered in CM, and it was very early in the registration process, then registrations completed in CM could be entered manually into SIS. Registration then could continue in SIS. If registration problems are encountered late in the process, and the team determines that the problems cannot be fixed, a restart of registration in SIS would be required. Insufficient time and resources would prohibit the team from creating the programs necessary to electronically back port the registration information from CM to SIS.

Clay Owen indicated that the only decision the group was making today was the agreement to not go live with CM on October 1 and instead change the timeline. The group agreed unanimously to not continue with the October 1 Go Live.

Reporting Update
Since the full hour was devoted to the CM timeline discussion, Phyllis Nash asked Kathy Crouch to present the reporting update at the next Coordinating Committee. Everyone agreed that the reporting topic merited more time for review and discussion.

System Performance Activities
Kathy Hamperian briefly summarized problems and developments with system performance. Changes have been made to the infrastructure (operating system and database) that have resulted in some improvements. Now the work can continue on fine-tuning the system for further performance improvements.
