Coordinating Committee Meeting

Meeting Notes - September 14, 2004

 

  • Construction (Nash)
  • Phyllis Nash reported that construction on the back portion of the building remains on schedule. She is hopeful that the contractor will complete the job prior to the holiday break.

  • Sigma Executive Seminar (Hardison)
  • David Hardison informed the group of the Sigma (Financial Aid software) presence on campus this week. All Campus Management team members are participating in Sigma training during the visit. On Thursday Sigma and IRIS Team members will have discussions on implementation issues.

  • Functional Update (Hardison)
  • CM training begins next week, for the first time in the United States. The CM Team is challenged with an ambitious training and workshop schedule. Dr. Hardison indicated that campus participation is being tracked to ensure full representation.

    The HR Team is presently examining organizational structure issues in SAP and is dealing with alignment. Team members are working on customer input (CI) templates. (The bulk of business process information will be compiled from template information.)

    Current FI Team activities include workshops, CI templates, discussions about data conversion, and organizational structure on SAP.

    The MM team likewise is busy with continued workshop efforts, as well as CI templates and site visits to areas in the hospital and on campus that are responsible for materials management.

  • Technical Update (Hamperian)
  • Kathy Hamperian announced the addition of Jayna Cheesman to the project team. Jayna will focus on data conversion. Kathy also updated the group on the SAP training system and sandbox.
  • Consultant Update (Nelson)
  • Lee Nelson linked his report to that of David Hardison’s and stressed that major decisions to be communicated as quickly as they are made. He spoke of the importance of the RICE List (reports, interfaces, conversions, and enhancements) as the means of determining what development efforts will be needed, the number of programs to be written, what items are most critical, and the timing of addressing each item.

    Lee reported that 31 issues now are being tracked. He cited some examples and talked about how those particular issues had been handled elsewhere.

    As Lee summarized his points about decisions, Phyllis informed the group that issues that surface in the provost area (IRIS and non-IRIS issues) will be sent to Karen Combs, who will assure that each issue is forwarded to the appropriate individuals/groups for resolution.

  • Data Element Ownership (Teague)
  • Brenda Teague distributed a copy of the committee report on shared data elements. The report includes a table depicting a small group of shared data elements and their respective owners, along with a series of questions for reviewing shared data elements to determine their ownership. Since some members did not understand the meaning of the data element for RCTF project number, Brenda will get a definition and share it with the committee.

    Brenda also reported that she continues to gather information on reports and will next look at the report needs of the clinical enterprise.

  • IRIS Information Sessions (Dearinger)
  • Lana Dearinger updated the group on the IRIS Information Session designed for administrative support associates. These programs begin on September 15, with Russ Williams as the presenter. Employees in this job family can choose from 17 sessions scheduled on different dates and at different locations on campus.
    The next meeting of the Coordinating Committee is scheduled for October 12.
