Coordinating Committee Meeting

Meeting Notes - September 13, 2005

  • Go Live Plan Details

  • Coordinating Committee members learned about the planned effort for go live support that the IRIS Project Office and Information Technology will deliver, beginning October 3. A command center at 630 South Broadway will be staffed by team members and will be operational Monday – Friday, 7 a.m. – 6 p.m., through October 31. Command center management responsibility will rotate among the project management staff members.

Command center calls will be routed from the IT Customer Service Center’s 257-1300 line. An IRIS option will be added to the regular Customer Service Center automated attendant system. Respondents in the command center will log and track calls via the Remedy software system.  Employees who work in the center will undergo some phone training in advance and review scripts for responding to problems likely to be encountered in October.

Employees also may opt to get help in walk-in centers around campus. Sites include the Peterson Service Building, the Funkhouser Building, McVey Hall, Patterson Office Tower, and the Barnhart Building. Both on-site and off-site walk-in help is scheduled for Hospital and Medical Center staff members.  Specific information on locations and hours of operation will be publicized soon.

All employees who participated in training for the October 1 Go Live will receive a printed Go Live Kit during the last week of September.  The kit includes a Go Live reference book containing information to assist employees as they begin working in IRIS Financials, Purchasing, and Student Accounting.

  • Statement of Responsibility

  • Kathy Hamperian shared copies of the planned Statement of Responsibility that all employees must sign for IRIS production client access. She also shared the text of the electronic Notification of Confidentiality alert that employees will see when signing on to production.

  • Financials, Procurement, and Student Accounting Updates for Go Live

  • Lee Nelson provided the Coordinating Committee with updates on each area of the project scheduled to come up on October 1. Lee presented information on the production cutover plans and progress, reporting on completed items and those that are still outstanding.

The Coordinating Committee meets next on October 11.
