Steering Committee Meeting

End-user Training

Diana Sage gave the Steering Committee an overview of the training plan for October 1 Go Live.  The training path will begin with SAP Awareness and Navigation instruction followed by process training and training tied to transactions (role-based). Diana shared information on specific classes to be offered, length of time involved in each, and the number of days calculated for training completion.

After the training plan presentation, Diana distributed a printed example of a Business Process Procedure (BPP) and explained the purpose, structure, and creation process of a BPP and the relationship to training materials.

PC Requirements

Kathy Crouch shared the minimum PC and MAC requirements for running SAP (as defined by the vendor).  She cautioned everyone to consider that many users likely will be running other applications and thus might need far more than this minimum configuration. Kathy made reference to the IT Campus Computing Standards as more useful and appropriate guidelines for PC hardware and software for employees.

Updates

The Steering Committee heard from each of the team leads on progress in area of the project.  Kathy Crouch provided the update for the Technical Infrastructure and covered Development, Business Warehouse, Enterprise Portal, and BASIS efforts to date and current emphases.

Michelle Nordin provided information on Campus Management. She was pleased to report on significant progress in the Financial Aid area, with the Sigma ProSAM installation, pre-configuration, sandbox, configuration, and testing achievements.  Michelle also reported on Student Administration and Student Accounting progress, as well as her recent experience in Germany with SAP acceptance testing.

Michelle Bliffen gave the next update on Human Resources/Payroll. She reported on progress in each of the subareas, touched upon enhancements and issues currently being addressed, and shared the testing plan and dates.  Following her update, Michelle demonstrated in SAP how to set up a position, hire a new employee, and select and enroll the new hire in benefits.

The Steering Committee next heard from Kevin Stevens on Materials Management progress. Kevin highlighted tasks completed or underway, and those scheduled for the near future.

Kevin also described how testing will be accomplished in MM.  He plans to use the Purchasing Office staff for the first round of testing in mid-June and then involve a group of subject matter experts for additional testing in July. To get ready for this effort, Kevin and Diana have initiated training of the Purchasing Office staff.

Dale Austin delivered the project news for FI, including a summary of recent accomplishments, current efforts, and future tasks. FI testing will take place in June and July and will involve about 30 people from the Controller’s Office.

Lee Nelson concluded the update portion of the meeting by giving the overall project management update.  Numerous tasks are 80 to 90 percent complete and Lee is pleased in general with progress.  Data conversion, testing, and security are major upcoming activities.

Procurement-to-Payment Demonstration

Lee next spoke about system integration.  He used the procurement process to demonstrate the integration of MM with FI and showed several screens in SAP to Steering Committee to illustrate the integration.
