Legacy to IRIS Conversion
The University of Kentucky is presently in the midst of replacing the following core systems, marking
a significant milestone in the University's history. Everything any user has access to within the new
system will be based upon the user's assigned role, a built-in security feature.
Advantages expected from replacement of these core components include:
Enhanced Security-- To strengthen an enterprise approach to security.
Computer Management -- a campus-wide standardized desktop support mechanism.
Alternate ID -- System components will be integrated using a unique person identifier number.
Document management -- data storage.
Enhanced Reporting Capability -- basic & pre-bundled reporting, ReportCaster scheduling and
webFOCUS Developer Studio for application and report development and Performance Management (dashboard).
A successfully implemented platform will provide the University of Kentucky a flexible and integrated management
information system, fully augmented for accurate, timely, and relevant data delivery online, in real time,
to the right people precisely when they need it. This is a massive undertaking and is called the
IRIS Project. IRIS is the acrynoym for,"Integrated Resource
Information System". SAP is a German firm, who was selected as the
vendor. See the brochures and whitepapers on this web
SAP Netweaver solution.
The benefits, features and functions include:
Business intelligence - to integrate, analyze, and disseminate relevant and timely information.
Master data management - to promote information integrity across networks.
Business process management - to drive IT applications into adaptive, end-to-end processes.
Application platform - to support platform-independent web services, web applications and development.
Portal and mobile infrastructure - Provide mySAP users with industry-leading portal technology consisting
of the following modules:
Financials (FI)
The FI implementation replaces FRS functionality improving access to financial information, and system integration.
FI went online October 1, 2005.
Materials Management (MM)
Purchasing functionality was implemented in the fall of 2005, as part of the first IRIS Go Live for Financials. The Go Live for Hospital Inventory Management is scheduled for April 2006.
Work is currently underway to enhance procard functionality and develop web-based applications.
Campus Management (CM) will replace the current
student information system (SIS), which includes
Admissions & Registration, Financial Aid Management and Student Billing Services. CM includes
application components of a typical student life cycle, such as university admission, registration
(booking), event planning (class schedule), grading, progression, academic history, calendar, and
student accounting. However, UK’s new financial aid system uses integrated Sigma ProSAM software.
Human Resources (HR) includes functionality to
support Personnel Administration, Organizational Management, Benefits, Payroll, and Time Management.
It replaces HRS and payroll systems. It offers real-time processing, improved access to information,
and system integration and went online April 1, 2006. With Student Accounting already live, this phase
includes the full CM implementation and is scheduled to be completed in the Fall of 2006
followed by the Visitor Center's functionality in Spring 2007.
Business Warehouse (BW) Business Warehouse (BW)is our long-term solution for IRIS reporting.
Using a data warehouse as its core, BW offers tools for data extraction, reporting, and analysis, web-based user interface called Business Explorer
(BEx) along with Business Content packaged reports.
Faculty Effort System (FES) The development of the
FES replacement is underway, with Go Live planned for July 1, 2006. The current FES is based on fiscal
year activity and will continue to be supported through June 30, 2006.
Grants Management (GM) is designed to account
for awards from government and other sponsors for a specific activity. GM
provides flexibility to account for funds on a fiscal period basis other than the University’s FY
and shows financial information from a sponsor’s perspective.
Plant Maintenance (PM) Go Live is planned for May 2007. PM provides
functionality for managing work requests (work orders), equipment, and facilities (buildings and grounds).
The departments of Auxiliary Services (including Housing) and Physical Plant (both Campus and Medical Center
Divisions) will use Plant Maintenance to support facility management and operations.
