POLICY NO. 11
HIERARCHY FOR CATALOGING SOURCES
(9-22-2000)


VOYAGER allows separate bibliographic records to exist for each owning library. All cataloging centers within an owning library agree that there will be only 1 cataloging record per title and on a hierarchy of cataloging records from which to select that record.

The UK Main Campus owning library has agreed on the following:

FOR SERIAL RECORDS:

The selection of serial records should follow the guidelines outlined in the CONSER editing guide.


FOR MONOGRAPH RECORDS:

Make choices on cataloging records based on the following hierarchy:

For federal publications prefer:

1. Government Printing Office records (GPO)
2. If there is no GPO record, you can either wait for one or select copy based on the following standards.


For all other publications prefer:

3. Library of Congress (LC) (including NCCP records)
4. National Library of Medicine (NLM)
5. National Agriculture Library records (AGL)
6. The record requiring the least amount of local editing or that contains the most information for your needs.



WHEN DUPLICATES IN THE DATABASE ARE DISCOVERED:

1. Based on the above hierarchy, if your cataloging center does not have the preferred record, the cataloging center should move its holdings to the preferred record and delete the duplicate record.

2. Based on the above hierarchy, if your cataloging center has the preferred record, consult with the other cataloging center(s) to agree on what bibliographic information should appear on the record and move holdings to the preferred record. Delete the duplicate records.
