University of Kentucky Libraries will catalog collections on OCLC when it is possible to do so in an efficient and effective manner which meets the "I" level standards in the OCLC Bibliographic Input Standards.
Collections for which access on our local system is desirable, but for which we either are not able to, or find it not desirable to, catalog on OCLC at "I" level can be added to the local on-line system as minimal-level cataloged (MLC) collections.
Guidelines for these collections are as follows:
2. Projects approved for MLC will enter a unique code in the 909 field of each MLC record, which will identify which MLC project created the record. The BPPAG will approve the choice of the unique identifier used by the projects.
3. Quality control responsibilities for the local database must be shared by all who enter data into the system. The Monograph Processing Team of Young Library will provide guidelines, templates, and training after consultation with all the processing centers of the University Libraries. To achieve this, the guidelines are:
B. Name headings will not be required on MLC records. If they are used, projects will follow cataloging standards for the form of entry of the headings.
C. Series will not be required on MLC records. If they are used and traced, projects will follow cataloging standards for the form of entry of the headings. Traced series will be indexed in the on-line catalog as part of the Merged Heading Index (author, title, subject). If they are used and not traced, the projects will not have to follow cataloging standards; but, untraced series will only be included in the keyword index in the on-line catalog.
D. Subjects will not be required on MLC records. If they are entered, they will be authority-controlled, i.e., the form of entry must be found in the current edition of the Library of Congress or MeSH Subject Headings.
E. For all name and series headings entered on MLC records, the NOTIS authority file will serve as the authority file for the form of heading.
F. All titles entered on MLC records will be entered without initial articles.
An appendix of all MLC projects including such information as the project director, template record number and unique code will be kept with this policy and updated as needed.
