PROVISIONAL RECORDS
NO LONGER USED


NOTIS provides for local records to be entered on a temporary basis prior to receiving full-length cataloging. These records are entered with an encoding level of 9 and use the 9XX tags rather than the MARC tags. They can be retrieved like full level records except that they are identified as provisional on the authority control reports and exist only within our local system.

Provisional records are currently used at the University of Kentucky for items which will eventually receive full level cataloging and for which there is a need for temporary online records.


Student Computing Services: Student Computing Services will create provisional records for equipment and documentation when the quantities of such materials prohibit the creation of unlinked item records.


Guidelines for Provisional records are as follows:

1. Proposals for provisional record usage will be submitted to the BPPAG. The Group will examine the usage to see if they are appropriate or whether minimal level (see policy #5) cataloging or immediate full level cataloging would be preferable.

2. Guidelines and templates will be established for each project. The guidelines for usage will be appended to this policy.

3. Training personnel will be done by the appropriate cataloging center or other parties as agreed to by BPPAG.

4. Provisional records are not required to follow cataloging standards in regard to headings.


CIRCULATION PROVISIONAL RECORDS

All mini records from LS/2000 loaded into NOTIS as full bibliographic records. However, on December 20, 1991, the BPPAG and selected members of the CPPAG met and agreed that, in the future, circulation mini records will be created as provisional records.

Circulation provisional records will meet the following criteria:

1. Records will be entered in all capital letters.

2. Records will contain a 909 field (CSN equivalent) consisting of the two-letter service code and the date entered in YYMMDD format with no intervening spaces or punctuation (e.g., XS911125). This code is required since it will allow staff doing retrospective conversion to identify the mini records and replace them with full records.

3. Circulation provisional records will consist of the following fields. The required fields are bold-faced.

4. Each circulation service unit who uses provisional records for circulation purposes may have a template record created which is tailored for their use.

The following guidelines will be applied to all provisional bibliographic records (encoding level 9) created by Acquisitions staff at all processing centers:

SPECIAL COLLECTIONS BACKLOG

Items which need to be cataloged in Special Collections are being searched on OCLC. If a matching record is found it is downloaded. If no record is found, a provisional record is created in NOTIS according to the guidelines for Acquisitions records.


GIFTS:

Gifts are searched on OCLC as they are received. If a matching record is found, it is downloaded. If no record is found, a provisional record is created in NOTIS according to the guidelines for Acquisitions records.
