University administrators
may authorize Public Relations to coordinate e-mails to large
segments of the University community by any combinations of
the criteria listed below:

At the time a mass e-mail is sent,
addresses are taken from the latest Campus Directory listings. There are no separate lists to which the mass e-mails
are sent. Therefore, Public
Relations cannot add or remove
individual e-mails.
If your directory information is incorrect
or absent you will not receive the e-mail. Check and update
your directory information at http://www.uky.edu/Directory/Updates/ and at https://www.uky.edu/IT/CustomerService/protected/phoneform.php. Also note that students, including part-time students who are full-time employees, who have marked their student records as private are excluded from most mass mailings because of the way their directory information must be handled.
In respecting the value
of the time and energy of our community members, the University
takes a very narrow view in authorizing these e-mails. If you
have a need to reach any of these segments, please contact Public
Relations as soon as possible, preferably at least several
weeks before you would want the e-mail delivered. Public Relations
will send notification as to whether the request is approved.
Public Relations has addresses on
file to send e-mail from the President, the Provost, the Executive
Vice Presidents, the University Senate, the Staff Senate, Student
Government, the Police,
the Dean of the Graduate School, Public Relations, the President's
Commissions, the Women's Forum, Human Resources, Parking, Athletics,
the IRIS Project, and Hospital Corporate Compliance. One should
carefully consider if an e-mail needs to be sent from anyone
other than those on this list. If so, additional configuration
and limitations may be involved. In particular only one e-mail
from someone not among the above can be sent at a time which
can lead to scheduling conflicts. Public Relations maintains a general UK Administration mailing address for messages that do not fit with the above addresses.
Please keep in mind that in
order to protect the use of the Network, such e-mails are
not instantaneous and depending on the length of the message,
the size of the audience and other conditions, may take more
than 3 hours to deliver. See below:

Finally, due to technical limitations, replies
to these e-mails are not instantaneous, but are filtered through
a special reply e-mail inbox managed by select PR personnel and then forwarded to the requested
individual.
