| RE: | Severe Weather Reminder |
The following information describes the procedures that will be followed and the announcements that will be made in the event of severe winter weather.
There are some operations at the University that can never close, such as the University of Kentucky Hospital, Residence Halls, and Physical Plant operations. Since major units of the University must remain open, the University will make every effort to ensure that all offices remain open and that classes meet as scheduled.
The Senior Vice President for Administration makes the decision when severe weather requires the cancellation of classes or the closing of some offices. The University Police Department provides information to the senior vice president concerning weather reports and road conditions. Also, information concerning local business, industry, and bus service is considered.
It is important that classes meet as scheduled for the many thousands of students who are on campus or in the vicinity, even though conditions may prevent some students, faculty, and staff from traveling greater distances. Every University employee is expected to make a diligent effort to meet classes or to fulfill job responsibilities with the understanding that personal safety is an individual decision.
The announcements regarding the cancellation or delay of classes will normally be made by 6:00 a.m. through the local media. The most up-to-date and complete information can be obtained from UK TV Cable Channel 16, the UK Infoline at 257-5684, or the UK Website at www.uky.edu. It is often difficult for the local media to present complete information, since they are handling hundreds of calls. Please refer to Channel 16, UK Infoline, or the UK Website to stay informed.
In
the event of the CANCELLATION of classes, the following announcement will
be made:
"Classes at the University of Kentucky, including Lexington Community
College, are canceled today __date__ and only Plan B employees are required
to report to work."
In
the event of a DELAYED opening, the following announcement will be made:
"Classes at the University of Kentucky, including Lexington Community
College, will begin at ______ a.m. Classes beginning prior to ______ a.m.
are canceled. Employees are to report to work at ______ a.m. except those
required to report earlier under Plan B."
In
the event of an EARLY CANCELLATION of classes, the following announcement
will be made:
"Classes at the University of Kentucky, including Lexington Community
College, beginning at ______ p.m. and thereafter are canceled. Employees will
be dismissed at ______ p.m. with the exception of those affected by Plan B."
An early cancellation of classes may mean a variation of Plan B for units. The Office of Senior Vice President for Administration will notify the office of the Provost and other key administrators, who will need to notify their respective units.
DEFINITION OF PLAN B
Employees who are required to report under Plan B are those employees whose
jobs (functions) are considered essential, even when University classes are
delayed or canceled.
Supervisors should develop a Plan B Schedule and inform their employees if they expect them to report to work during delays or cancellations.
Employees who have not been informed that they should report under Plan B do not need to do so. If there are questions about this policy, employees should consult their supervisor.
