UK Alcohol & Health Education Office (AHEO) Low-Risk Event Sponsorship Application Process

Guidelines:

  • The purpose of this sponsorship is to provide resources for student sponsored social events that are not fully funded through other campus budgets‚ and provide students with outlets other than drinking.
  • The sponsorship application process (steps I-IV) must be completed two weeks before the event in order to receive consideration for funding. This means you must officially meet with the Director of the AHEO or a designated CAUSE member two weeks prior to the event.
  • Events are more likely to be funded if scheduled during a high-risk drinking times. This includes Wednesday‚ Thursday‚ Friday‚ and Saturday evenings‚ or events hosted after 9:30pm as well as times during "tailgating."
  • Events must have a low-risk theme or a message that revolves around the "P.A.W.S. with the CAUSE" campaign or the "Question Authority" campaign.
  • Funding cannot be used for t-shirts or cash prizes. Funding will not be provided for venue gift cards that supply alcohol. This includes Target‚ Wal-Mart‚ and restaurants that serve alcohol. The money can only be used for up to $150.00 for prizes (promotional items).
  • An evaluation form and receipts are due within 3 days after the event. If this part of the grant process is not completed on time‚ the student and/or organization loses the option to apply for any future funding.
  • Funding is generally around $100-$300‚ however‚ consideration is given to amounts within reason according to the size of the event and the number of students involved.
  • Money may be used for a fundraiser event‚ but not for events that benefit an organization's bank account. If admission is charged‚ it must be noted on the grant application what that money is going towards.
  • Funding must be used as stated in the budget in section III‚ if funding is used for other purchases‚ the Director of the AHEO must be notified and approved by the Director. If this rule is not followed‚ the organization loses the option to apply for any future grants.
  • Your receipts will not be reimbursed unless they are itemized!
  • All invoices must be sent to the AHEO before 1 week before the event.

How to Apply:

  • Print an application from the attachment.
  • Complete the application and turn it in at 518 Patterson Office Tower or 559 Patterson Office Tower.

Grant Application Checklist:

  Grant application is completed and turned in TWO weeks prior to event.

  Meet with the Director of AHEO or CAUSE member TWO weeks prior to event. To arrange a meeting‚ contact the Director at Drew.Smith02@uky.edu. The representative must be able to answer questions about the event and budget.

  Sections II‚ III‚ IV are completed and typed‚ with the budget being detailed.

If funded‚ attached evaluation needs to be completed three days after the event. Include receipts with evaluation. If event is cancelled‚ please contact Andrew Smith‚ Director of the AHEO at 257-9687. If cancelled and items have been purchased through invoice (i.e. promotional items)‚ the AHEO has the right to charge the organization‚ residence hall‚ or person for reimbursement or the right to assume possession of all items purchased through funding.

Tips for a Successful Low-Risk Event:

  • Thank participants by making a low-risk decision by coming to your event!
  • Make alcohol information relevant and fun. DO NOT simply say "this event was sponsored by the AHEO"
  • Make the low risk message relevant to your event's theme.
  • Quizzes or door prizes are a great way to get participants involved. You can use the materials given to you as prizes‚ or you can just foster some healthy competition and a mood of fun for your event.
  • Make sure students understand the University of Kentucky's alcohol policy.
  • Try to utilize some information found on the "Question Authority" website: www.Q-Authority.org. (up September 18th)
  • Incorporate the information throughout the entire event—this way you will reach people who come late or leave early as well.
  • Use different types of information: read some facts‚ then have a quiz‚ the people planning an event can do a role play‚ etc. This will encourage students to think about the effects of alcohol in different ways and they will better be able to apply it to their own lives.
  • Use the resources given to you by substance education staff- they can be helpful to your program participants.
  • Engage discussion with participants about how alcohol can affect them, and ways they can make low risk decisions- remember to always apply it to the theme of your event.
