Trip Manager™ First-Time Users

Trip Manager™ is AAA’s online self-service registration system, which offers the flexibility of 24/7 business and personal (leisure) travel arrangements. The system displays airline published fares as well as Internet fares. Before you begin making reservations in Trip Manager™, you must build your Traveler Profile, which is a collection of data about you that AAA will use to make all your travel arrangements.

Build Your Traveler Profile in Trip Manager™ (print this page for easy reference) - Please do not create duplicate profiles - if you feel there may be a profile already created, please call the Trip Manager Help Desk at 1-977-463-0543 and they will give you access.

  1. Connect to Trip Manager™ by visiting www.tripmanager.com
    • Type UK as "Company".
    • Type UK as "Member ID".
    • Leave "Password" blank.
    • Click "Login".
  2. Auto Setup is a template to complete the traveler's information.
    • Create "Member ID" (make it easy to remember).
    • Create your "Password" - from 2-16 characters.
    • Complete all required information.
    • Click "Submit".
       
  3. Daily Briefing
    • Click "Complete Traveler Profiles".
    • Click "Credit Card Information" to add credit card.
    • Click "Passport and Contact" only if you will want to look for international itineraries. Because of their complexity, we do not suggest using Trip Manager™ for international tickets - please contact one of the AAA on-campus travel agents for your international arrangements at (859)323-5354.
    • Click "Custom Fields" to enter your 5-digit department number (per the FRS Handbook). This number will be used to sort our data reports.
    • Click "Flight Preferences" to add your airline frequent flyer numbers and any special requests you may have for your air reservations.
    • Click "Car & Hotel Preferences" to add your car and hotel membership numbers and preferences.
    • Click "Notification" to add your travel arranger's Member ID - this will allow your traveler arranger to have access to your profile to make travel arrangements for you. Ensure your traveler arranger has already created a profile and Member ID so you will have the information to input into your profile.

Accessing Trip Manager™ After Profile is Created

  1. Connect to Trip Manager™from the Travel home page ("Returning Users" under Trip Manager™ tab), or by visiting www.tripmanager.com
    • Type UK in for "Company".
    • Type in your "Member ID".
    • Type in your "Password".
    • Click "Login".
       
  2. Reservations (see left side of screen for links)
    • Select Traveler (for those travel arrangers who can access other traveler profiles).
    • Book New Trip (includes air/car/hotel).
    • Book Flight (if you only want air).
    • Rent Car (if you only want a car).
    • Reserve Hotel Room (if you only want a room).
    • Complete Trip (takes you to Purchase screen).
       
  3. Options for Viewing Itineraries (left side of screen)
    • Click Specific Date/Time of Itinerary.
    • Click "View all Itineraries"
