I. General
Questions About the UEA
What is
the University Email Address?
The University Email Address (UEA) is an optional
user-friendly email address. It acts as
a postal forwarding address - rerouting email it receives to an
email account specified by you. You can customize the way your
UEA appears and specify an email account to where email sent to
your UEA will be delivered.
The UEA is NOT another email account. You will need a UK
account to manage your UEA.
How is this
different from my current email address?
Your UEA is an email address that routes messages
sent to it to your primary email mailbox - your current email
address.
Why are we
allowed to create our own unique identifier for our UEA?
We believe that your official UK published
email address should correctly reflect you as an individual. Some
UK members may prefer to be addressed by a different name than
the official name listed in UK records. A user may wish to be
identified by their middle name or a nickname in their UEA. We
allow UK members to have the freedom to be identified the way
they prefer.
Are there any restrictions on what we can choose as our unique identifier in our UEA?
Your unique identifier must:
- must be your name or a derivative of your name
- must be at least 9 characters long or it must contain a period if shorter than 9 characters
- must consist of only alphanumeric characters, periods (.) and dashes (-). May not contain underscores ( _ ).
- cannot have two consecutive non-alphanumeric characters (e.g. "joe..smith")
- cannot start or end with a period (.) or dash (-) character (e.g. "-joe.smith.")
I am not allowed
to change the UEA to my desired identifier. Who can I contact?

Once I have
changed my UEA, how long must I wait until it is activated?
You can use your new UEA immediately after
you submit your changes in and logged out of the UK
Account Manager.
What are the
qualifications for a valid UEA identifier?
A valid UEA identifier:
- Must be your name or a derivative of your name.
- Must be at least 3 characters long and at most 64
characters long.
- Must consist of a combination of alphanumeric characters,
dashes (-) and periods (.)
- Cannot have two consecutive non-alphanumeric characters
(e.g. "John..Doe").
- Cannot start or end with non-alphanumeric characters (e.g.
".John.Doe-").
Does
the UEA affect any other systems besides UK email?
No.
If
I decide to not create an UEA, will I still receive my email?
Yes. If you make no changes to your email client
settings and do not activate your UEA, you will continue to receive
email as you have in the past..
I

II. Using
Your UK Account to Manage Your UEA
Why am I required to
create a UK account?
Your UK account is required to establish
and manage your UEA.
I use an email account
other than my UKIT provided account. Am I forced to use the UK Account for email services?
No. You may forward mail sent to your UEA to
your current primary email account, but please keep in mind that your Univeristy Email address is the official methode of corresondance used by UK, and that UK does not keep copies of emails sent to your forwarded account.
What is the UK
Account Manager?
The UK Account Manager allows you to
create your UEA, along with manage other settings of your UK
account such as your password and self-reset questions. To use the UK Account Manager, you must have a
valid UK account.
Can mail sent to my
UEA be forwarded to another email account other than UKIT provided email account?
Yes. You can forward mail sent to your UEA
to any standard email account, such as UK Exchange accounts, departmental
email accounts or Internet email such as Yahoo.
When I am in the UK
manager, it appears that a UEA has been already specified for
me. Can I change the UEA to something else?
Yes. You have the option of changing the UEA
to an identifier to your liking when you first activate the UEA.
If you would like to modify the UEA after that, you can login
to the UK Manager and click on the Change Email Address
option.

III. How UEA Interacts with All
Email Accounts
Will my old
email address no longer receive email?
No. Email addressed to your old email address
will still be delivered. However, if you are changing your UEA, then email sent to your old UEA will no longer be delivered to you.
Am I forced to make
corrections to my old email addresses already published on business
cards, letterheads and the like?
No. You can still receive email sent to your
old email addresses.
On official UK publications, such as business
cards, letterheads and printed documents, you should use the new
UEA when ordering new stock. You should also make any respective
changes to your email signature.
After creating my UEA,
will I need to change my settings for my client email application
(Eudora, Outlook, Outlook Express)?
It is highly recommended that you change your
client email application's settings to use your UEA as the "From"
address. Without changing your settings, you will not have any
reference to your preferred UEA in emails sent from your client
application, which may be easier to use and understand (john.doe@uky.edu)
than your email mailbox address (jpdoe01@uky.edu).

If you do not change your client email application's settings,
you will still be able to read and send email.
Can I forward email
sent to my UEA to two or more different email accounts?
No.
I am subscribed to
a listserv mailing list. After creating an UEA, why are my messages
to the subscribed lists being rejected?
The listserv service is not recognizing your
new UEA that is used in your sent emails. You will need to update
your listserv subscriptions to using the new UEA. Please see the

Will email attachments
sent to my UEA be delivered?
Certain executable file types - such as ".exe"
files, ".bat" files and ".vbs" files - will
be removed automatically from emails. These executable file types
are blocked in order to prevent spreading email viruses and to
secure your computer.
Most non-executable file types - such as Microsoft
Word documents, Microsoft Excel spreadsheets, ".jpg"
and ".gif" images, Adobe Acrobat ".pdf" documents
and HTML documents - will not be removed.
When sending an
attachment to a UEA, the attachment is being removed when the
email is delivered. How can I get this attachment to my desired
recipient?
You will need to place your attachment within
an archive file. An archive file contains several files that have
been "compressed" into one file. Common archive formats
are ".zip" files for windows, and ".sit" files
for Macintosh. Attachments placed within an archive file will
not be stripped when sent to a UEA.
To create an archive file, you may need an
archiving utility for your computer. Archiving utilities are available on the UK Download server (http://download.uky.edu/).
Is
email sent to my UEA scanned for computer viruses?
Yes. All incoming email sent to your UEA is
automatically scanned for known viruses. If a virus is found attached
to an email sent to your UEA, it will automatically be stripped..
Unwanted
spam email has been filling up my inbox lately. Is there something
being done about this?
Yes. UK Information Technology has upgraded
spam-recognizing software for their email systems. All incoming
email to your UEA will be scanned. If an email is recognized as
spam, the message will be delivered to your specified account,
with "[SPAM]" added to the subject field of the message.
You may then review the piece to ensure it is unwanted spam.
On average, UK Information Technology is recognizing
and removing 20,000 pieces of spam email a day.

IV. UEA Information for
UK Email Users
After creating my UEA,
do I need to change my settings for using Web Access?
No. Web Access will automatically
use your new UEA as the "From" address.
Using my UEA, can I
receive email at my UKIT provided account and at another account?
No. Users may no longer set their UKIT provided
accounts to forward to another email account while keeping a copy
of each email in a local mailbox.
When forwarding UEA
email to another account, do I also have an local email mailbox?
No. When forwarding mail, your account
will have no mailbox associated with it.
I am a user
with mail in my mailbox. I specified my UEA to forward
to an email another address. Now when I try to login, it says my account doesn't exist. What happened
to my email?
When you forward your email, your mailbox is removed. If you unforward your email within forty-five (45) days, then your mailbox will be reattached. If you unforwarded your email after forty-five (45) days, your old mail is no longer recoverable, but a new mailbox will be created.
Please note that while forwarding UK does not have anyway to keep a copy of your email, messages will only exist in the sender's sent items, and the email account you specified as the recipient of your forwarded email.
To restore access to your mailbox, login to the UK
Account Manager and uncheck the Enable Forwarding option. After
logging out of the Manager, you will have immediate access to
your mailbox.
If
I forward my mail sent to my UEA to another account, can I still
login and use Web Access?
No. Email accounts that forward mail do
not have mailboxes to store mail.
If I forward mail sent
to my UEA, what will
happen to email sent to my userID@uky.edu email address?
Email sent to your actual email account
(uconnect_userID@uky.edu) will be forwarded to the UEA forwarding
address you specified.

V. UEA Information for
Exchange Email Users
If I have a UEA that forwards to my UK
Exchange account, what will my address be in the Exchange Global
Address List?
Your UEA will be the email address associated
with that entry.
