We just moved into our residential facility. What paperwork and procedures do we need to do?

You will need to sign your License and other paperwork in the Graduate and Family Housing office. This must be done on the first business day following your move-in date. All occupants 18-years of age or older must come to the office to sign the paperwork.
Your Resident Manager will inspect your residential unit prior to your move-in date. After you move into the residential unit, it is your responsibility to contact the facility Resident Manager. (The contact information will be provided to you when you check-in at the Graduate and Family Housing office.) You and your Resident Manager will evaluate your residential unit. This is your opportunity to note any damages or concerns. The walk-through ensures that you will not be charged at move-out for wear-and-tear you did not cause. Failure to perform the inspection does NOT relieve you of financial responsibility. Your security deposit will not be refunded if you owe for damages, rent or other charges. The security deposit will be applied to your account to cover the balance due, and the remainder, if any, will be refunded to you.

 

What does "jointly and severally" mean?

That all occupants over 18 years of age are responsible for any monies owed to the Graduate and Family Housing office.  Therefore, all adult residents (age 18 years and older) must sign the License. Each occupant is equally responsible for rent, late fees, miscellaneous charges, cleaning, and damages. All are responsible for ensuring compliance with the terms and conditions of the License. Legal collection action, may be taken against the group or any individual within the group for outstanding balances.

 

I am going to have a roommate. What do we need to do?

Both of you must meet graduate student eligibility requirements as defined in this Web site, and both will need to complete Housing Applications.  You and your roommate will sign a separate License Agreements as well. Both will be required to pay a $150.00 security deposit. The security deposit is required per person NOT per residential unit.  We will provide both of you with a door key.  If the roommate moves in after you, upon request, we will provide your roommate with a single bed, desk, and desk lamp. There will be a one-time $25.00 fee to change the furniture set-up in your residential unit.

 

I want a different residential unit in Graduate and Family Housing. What should I do?

You must come to the Graduate and Family Housing office to complete your "Transfer Request". You will be placed on our transfer waiting list. NOTE: We do not process transfer requests during peak reservation periods. We reserve the right to refuse a transfer request for reasons including, but not limited to: 7-Day Notice to Vacates in file, Warning Notices in file, noise complaints, License violations, and other reasons as determined by the Housing Manager. A $100.00 transfer fee must be paid when you transfer to a new residential unit.

Anytime you move from one residential unit to another within Graduate and Family Housing, it is considered a transfer, and the transfer fee must be paid. Anyone that has moved out of Graduate and Family Housing and RETURNS within three months or less must pay the transfer fee.

 

I need to change the furniture in my residential unit. What should I do?

First, review our "Furniture Policy" on this Web site. Your request must comply with this policy. Second, you will need to call or come by the Graduate and Family Housing office. Furniture change requests must be submitted by one of our Associates. You will be charged a one-time fee of at least $25.00 for all furniture changes not requested at least 5-business days before you move into a residential unit.

 

How do I pay my monthly rent charge?

Payment may be made on-line using a Visa, MasterCard, American Express, or Discover credit or debit card from the online payment link; Graduate & Family Housing Online Payments.

Payment may be made in the Graduate and Family Housing office during regular business hours. We do not accept cash. Payment can be made using your Visa, MasterCard, American Express, or Discover credit or debit card; personal check, traveler's check, or money order.

NOTE: We cannot return change when your payment exceeds the amount of charge on your account. Any excess payment will be applied as a credit on your account.

 

I need to defer paying my rent until I receive my Financial Aid. What should I do?

You will need to come to the Graduate and Family Housing office to complete a "Rent Deferment" form. You MUST bring a copy of your awards letter or documentation from the Financial Aid office. You may be charged a late fee. You will need to complete a new form every semester. 

 

I received a "7-Day Notice to Vacate". I need to speak to someone about this "Notice". Who may I contact?

Please contact our Account Associate. She can be reached at 859-257-3709 or by email at: sjoin2@email.uky.edu. You should do this as soon as possible. On or about the 8th calendar day after the 7-Day Notice to Vacate is issued, we will change the lock(s) on your residential unit door(s) denying you access to the unit. It will be your responsibility to contact our office within 7-days to make arrangements to pick up your personal belongings. If you do not do so, your personal belongings will be considered abandoned and will be dispose of as we see fit. Failure to pay your rent or to contact our office will result in eviction.

 

I want to move out of Graduate and Family Housing. What should I do?

Notice to Vacate must be given at least 60-days in advance. You must come to the Graduate and Family Housing office to complete your "Notice to Vacate" paperwork. If you are a single graduate student with a roommate, you must come to the office together to complete the appropriate paperwork. NOTE: Even if only one roommate is moving out of the residential unit, you must come into the office together to complete the appropriate paperwork.

You will be required to schedule an inspection of the residential unit with your Resident Manager when all residents are moving out of the residential unit. The inspection is to be scheduled on the date that you are moving out. This inspection is for your protection. Charges may be assessed for your failure to clean or if its contents are damaged. We do not charge for "reasonable wear and tear". Your failure to schedule this inspection does not relieve you of financial responsibility for the residential unit and its contents.

 

I just found out that I have to move out of Graduate and Family Housing immediately. What should I do?

You must come to the Graduate and Family Housing office to complete your "Notice to Vacate" paperwork. You may be held financially responsible for a period of 60-days regardless of the date you physically leave the residential unit.

 

I will be moving out of Graduate and Family Housing, but I do not know the exact date. What should I do?

You must come to the Graduate and Family Housing office to complete your "Notice to Vacate" paperwork. You may be held financially responsible for a period of 60-days regardless of the date you physically leave the residential unit. You must note that your move out date is "tentative". This means that you are unsure of the exact date. As soon as you know the exact date, you must contact our office. You will also need to contact your Resident Manager to schedule your check out inspection.

 

What is the procedure I follow to receive a refund of my security deposit?

Your security deposit will be refunded if cleaning or damage charges are not assessed when you move out of the residential unit. Assessed charges will be deducted from your security deposit and the balance, if any, will be refunded to you.

Residents that are leaving the United States (excluding Puerto Rico) may apply for an advance refund of their deposit. Application for an advance refund does NOT guarantee that the refund will be received before the resident leaves the country. A forwarding address must be provided in case the refund doesn't reach the resident before they leave the United States.

Residents remaining in the United States or Puerto Rico must provide a forwarding address when they complete their "60-Day Notice to Vacate" in the Graduate and Family Housing office.

Residents that do not provide a forwarding address, provide an incorrect or incomplete forwarding address, or in any other way prevent a timely deposit refund are subject to forfeiture of their deposit.

Unclaimed security deposits will be forfeited after a period of 90-days.

NOTE: You cannot use a departmental address at UK for your forwarding address. Accounts Payable will NOT mail refund checks to departmental addresses.

 

I moved out of Graduate and Family Housing. I still have not received a refund of my security deposit. What should I do?

It takes approximately 6-8 weeks for UK to mail your refund check. If this amount of time has passed, you will need to contact our Account Associate. She can be reached by telephone at 859-257-3709 or by email at: sjoin2@email.uky.edu.

 

What is "renter's insurance"?

Renter's Insurance will cover you financially if you suffer a personal property loss while living in your residential unit. The cost of Renter's Insurance is quite low. You can get more information about the coverage and its cost by choosing Property Property Insurance.

 

I just got an automobile. Is parking available? How much does it cost?

All of our communities have their own designated parking area. Parking lots are maintained and operated by UK Transportation Services. Their Web site address is: http://www.uky.edu/Parking/. Residents can apply for their parking hangtag on-line. Your hangtag will only allow you to park in your community. All information about parking at the University (including rates) can be found on this Web site.

 

If I have a guest visit, where should they park?

In most of our communities, there are parking meters available where your guests can park if they are not staying for a long time. Otherwise, you will need to contact UK Transportation Services to obtain a temporary parking permit for your guest. We do not have temporary parking permits in the housing office.

 

Where should I park my bicycle?

You need to review the University's policy regarding bicycles. This can be found at the Web site address: http://www.uky.edu/pts/alternative-transportation_bicycle-information. In general, you may only park your bicycle in designated bicycle racks. You should purchase a "u-bolt" lock to secure your bicycle to the bicycle rack. (Note: most authorities agree that a "u-bolt" lock offers better security than the traditional chain.) If your bicycle is parked in an unauthorized area, University officials may take possession of the bicycle. If this happens, you will be charged a fee to reclaim the bicycle.

 

What should I do if there are severe storm warnings?

You should familiarize yourself with possible weather conditions in this area. The Office of Emergency Management at the University has an excellent Web site that you should visit: http://www.uky.edu/EM/. Their Web site discusses emergency situations including threatening weather conditions.
