Housing Fair for Vendors/Property Managments

The UK Off-Campus Housing Fair will take place twice during the 2016-2017 academic year, once in the fall and in the spring. The spring 2017 event has been canceled, Location TBA from 12:00 p.m. – 3:00 p.m. Don’t miss this phenomenal opportunity to take part in an event that provides a convenient place for students, faculty, and staff to obtain information on housing availability and/or related services. Please note that this is an information-only fair.  Neither leasing transactions nor sales of services may occur during the fair.

How do I register for the Off-Campus Housing Fairs?
Registration for the fair will be closed. Please, fill out the online registration form by clicking on the tab to the left of the screen labeled "Housing Fair Table Registration Form".

Is there a registration fee?
You have an option to reserve an entire 6 foot table for yourself for $350 or to share a table with another vendor for $250 (each vendor pays $250). Table assignments will be made on a first-come, first-served basis upon receiving the completed registration form and payment. The deadline for registration is canceled. Registration fees are nonrefundable. All payments must be received by March. Due Note: Our office does not provide table covers. You can go to our Facebook page and search our photo album to see how vendors from this past spring set-up their tables. 
What should I do if I am unable to make it to the fair?
If you later become unable to attend, notify our office via e-mail. We will update our list accordingly.

How will the Off-Campus Housing Fairs be publicized to students?
In addition to advertising on our website and in our office, we also send a campus-wide email describing the event. Yard Signs and flyers are also distributed throughout University of Kentucky residence halls, as well as in offices and buildings throughout campus. We also promote the fairs through Facebook, Instagram, Pinterest, and Twitter.

How many people attend the Off-Campus Housing Fair?
The last two Housing Fairs, we had an average of over 200 students register to attend each fair.

What should I bring with me to the fair?
It is best to bring as much information about your property (or properties) as possible.  Information recommendations to have available for students, staff, and faculty would be a copy of your lease, price charts, floor layouts, and pictures of actual rental spaces. Pictures or other promotional materials will help your properties to stand out to students interested in finding housing. We will provide you with a table so please bring your own materials. Table decorations and giveaways are always a big hit, so remember to be creative!

Can I bring food or a food vendor to the fair?
The University of Kentucky operates under an exclusivity contract with campus Dining Services, therefore we cannot allow outside food or vendors. You can bring individually wrapped candy.
When should I arrive to set up?
You should arrive at least 45 minutes prior to the start of the fair to set up your table and sign in before the first group of students arrive. Students usually arrive early so plan accordingly.
Will Off-Campus Housing Services validate parking for the fairs?
Whole table registrations are provided with 2 parking space vouchers and half table registrations are provided with 1 parking space voucher.  Note that due to limited parking space and construction occurring on our campus, it is highly recommended to carpool as much as possible. Additional Parking information will be provided closer to the date of the event. 

When do students start their search for housing?
We encourage students to start their search as soon as they have determined that living off-campus will be their main option. We direct them to our housing database, Housing Locator Site, where they can go through properties that are available for rent. It would be to your advantage to post a listing in our site database to advertise your property, as well as to attend our fair.

How many students typically attend the event?
Typically there is 200-300 students that will attend the event.

Please note: Registrations are accepted on a space available basis and we will not reserve tables until payment is received. 
How do we access UK W9 or COI?
UK Purchasing states that the W-9 located on their website is the current W-9 provided by the IRS.
UK Risk Management states that UK does not provide a COI to individuals/groups coming to campus for events.
