Welcome to the Travel Management Services Department!

 

Here you will find all your resources for University of Kentucky official business travel. The travel program has been designed to help centralize University business travel so that your travel needs are met with efficiency, flexibility and cost-savings.

Business travelers may chose to make arrangements through one of UK Travel's designated travel vendors. AAA Corporate Travel Services is our  lead travel agency, supplemented by our second agency located off-campus, Avant Travel; and, AAA’s Cliqbook is UK’s on-line reservation system. 

Although UK prefers all business travel arrangements to be handled by UK Travel, travel may opt to make arrangements through an alternate travel vendor, which is any other travel agency other than a UK designated agency, or any other website other than Cliqbook.  However, if they do, then a valid cost comparison must be printed by Cliqbook and submitted with the travel voucher for reimbursement. A personal credit card is required when a ticket is purchased through an alternate vendor, and the traveler is reimbursed after travel is complete.

The University Procurement Card is the preferred method of payment for all business airline tickets purchased through AAA,  Avant Travel, and Cliqbook. The procurement card may also be used for business hotel room and tax charges, rental car charges and conference registration fees.

UK has secured several travel discounts.  Airfare discounts have been negotiated with Delta Air Lines, Northwest Airlines, and Continental AirlinesThese fares are unpublished and are only available through one of UK's designated travel vendors.  UK also has rental car discounts with Enterprise Rent-A-Car and National Car Rental. And, UK also has negotiated discounts at several local hotels.

Cliqbook, UK's new travel booking tool is here!  Just click on the "Cliqbook" link on the left side of the screen to get started.  Many users will not need structured training to use the system but if you wish to attend a training class, please register at the HRD Training & Development Calendar.  To learn all about the UK Travel Program, you can also register for this class well.  Both classes are scheduled for the following dates for the remainder of the year:  October 30, November 13, and December 18. 

Airtran Airways is coming to Lexington in February 2010 with nonstop service to Ft. Lauderdale and Orlando. 

Continental Airlines has left the SkyTeam Alliance (where they partnered with Delta and Northwest) and is now with the Star Alliance (partnering with United and US Airways).  For all details about these airline alliances as well as the One World Alliance, please see their respective websites. 

With all the last minute airline schedule changes, it is a good idea to reconfirm your flight arrangements with your UK Travel vendor (AAA or Avant) or the airlines directly.  It is recommended that international reservations be confirmed at least 72 hours in advance and domestic reservations be confirmed at least 24 hours in advance.
